The useful starting point
Industrial projects fail at the interfaces: the machine needs a different supply, the software is unavailable or testing belongs to nobody’s quotation. Define those boundaries early.
Describe the operating change
State what the plant must do after the project: add a line, change throughput, improve control, replace unsupported gear or reduce a particular failure risk. Include the operating modes and duty, not only the equipment count. An installer cannot assess a motor circuit meaningfully from “wire one machine” when the machine’s starting, control and environmental requirements are unknown.
Provide available drawings and equipment documentation, identify known gaps and say whether a site survey is required. Record what is existing, what is new and what will be removed. Keep assumptions visible so bidders are pricing the same outcome.
Assign the system boundaries
Separate utility supply, customer distribution, machine wiring, process control and safety-related functions. For each boundary, name who supplies design information, performs work, approves changes and records acceptance. A phrase such as “by others” should identify the other party and the required input.
Ask who provides the load assessment, fault and protection information, equipment approval evidence and control sequence. Identify responsibilities for network addressing, programming access, current software and vendor attendance. The controls guide explains why these items cannot be left until the last day.
Make the site constraints priceable
Describe production hours, shutdown limits, access, lifting routes, working environment and confidentiality requirements. State whether the facility remains occupied and which loads cannot be interrupted. Include known hazardous-area information and washdown, dust or temperature conditions.
Site surveys must be conducted under the facility’s safety rules. Use existing documentation and safe exterior photographs for the initial enquiry; do not open electrical equipment to satisfy a quoting checklist. Unknown conditions should become an explicit survey or allowance with a change process, not a hidden assumption.
Track the separate approvals
Permitting, utility coordination, equipment approval and operational release answer different questions. Confirm the authority for the actual municipality and site. A City of Calgary process cannot be transferred automatically to another Alberta town or county.
For a Calgary facility, the City describes contractor and annual electrical permits. Ask whether the proposed work belongs under an existing annual permit or requires a separate project permit. Utility feasibility and energization requirements still need their own coordination.
Specify what completion means
Include installation checks, applicable tests, integrated controls and process acceptance, current drawings, settings, manuals and training. State the punch-list and energization authority. The commissioning guide gives a detailed framework.
Require bidders to identify exclusions and assumptions. Compare full scopes rather than the headline totals alone. A quote without testing, production support or documentation may be cheaper because it covers less of the required outcome.
Use the industrial outage brief to assemble the operating constraints. A person reviews enquiries from this portal; it does not claim to employ installers or certify a contractor.
Questions / Direct answers
Common questions
What drawings should I provide for an industrial quote?
Available single-line and layout drawings, equipment information and relevant control schedules are useful. Identify their revisions and known gaps. The project team determines what additional survey or design information is needed.
Should engineering be included in an electrical quotation?
State who owns it and what deliverables are required. It may be a separate appointment or included scope, but it must not be left unidentified.
How do I compare industrial electrical bids?
Compare outcomes, assumptions, exclusions, approvals, outage support, testing and documentation as well as the total. Ask bidders to price a common scope and explain differences.
